Pandon G.K. (“we”, “us” or “our”) recognizes the importance of personal information and handles it appropriately as described below, in compliance with the Act on the Protection of Personal Information of Japan (the “APPI”) and other applicable laws and guidelines.

Personal information we collect

We collect the following personal information by lawful and fair means:

  • Your name, company name, email address and the content of your inquiry when you contact us
  • The name, affiliation and contact details of persons in charge at our business partners and prospective business partners
  • Personal information entrusted to us by our clients in the course of our software development services

Personal information collected through the apps and services we operate (such as SlimBuddy) is handled in accordance with the privacy policy of each service.

Purposes of use

We use personal information only for the following purposes:

  1. To respond to your inquiries and contact you
  2. To conclude and perform contracts, including software development services, and to communicate with our business partners
  3. To provide information about our services
  4. To comply with laws and regulations

We will obtain your prior consent before using personal information for any other purpose.

Personal information entrusted to us by clients

When a client entrusts us with personal information in the course of our software development services, we handle it within the scope of the agreement and in accordance with the client’s instructions. When the agreement ends, we return or delete the information as provided in the agreement.

Provision to third parties

We do not provide personal information to third parties without your prior consent, except in the following cases:

  • Where required by laws and regulations
  • Where necessary to protect the life, body or property of a person and it is difficult to obtain your consent
  • Where necessary to cooperate with a national government agency, a local government or a person entrusted by them in performing affairs prescribed by laws and regulations, and obtaining your consent is likely to interfere with the performance of those affairs
  • Where we entrust all or part of the handling of personal information to a contractor to the extent necessary to achieve the purposes of use

Supervision of contractors

When we entrust the handling of personal information to a contractor, we select a contractor that handles personal information appropriately and supervise it as necessary and appropriate, including through contracts.

Security control measures

We take the following measures to prevent leakage, loss or damage of personal information and to otherwise manage it securely:

  • Organizational measures: We appoint a person responsible for the handling of personal information and regularly review how it is handled.
  • Human measures: We provide our staff with the necessary training and supervision on the handling of personal information.
  • Physical measures: We take measures to prevent the theft or loss of devices and electronic media that contain personal information.
  • Technical measures: We prevent unauthorized access through access control, multi-factor authentication and encrypted communications.
  • Understanding the external environment: We use cloud services and AI services provided by companies in the United States (such as Google Workspace, Cloudflare, GitHub, Anthropic and OpenAI). We take security control measures based on an understanding of the personal information protection system in the United States.

Website analytics

Our website uses Cloudflare Web Analytics, provided by Cloudflare, Inc., to understand how the site is used. Cloudflare Web Analytics does not use cookies and does not collect information that identifies individual visitors.

Requests regarding retained personal data

If you request notification of the purposes of use, disclosure (including records of provision to third parties), correction, addition or deletion, suspension of use or erasure, or suspension of provision to third parties of retained personal data we hold about you, we will respond without delay in accordance with the law after verifying your identity. We may revise this policy in response to changes in laws and regulations or our business. The revised policy takes effect when it is posted on this page.
